Privacy Policy

Hawkify, LLC (“Hawkify,” “we,” “us”) operates the website at hawkify.ai and provides AI implementation services to staffing firms. This policy explains how we handle information collected through the website and during customer engagements.

Information we collect

Information you give us directly. When you book a Free Workflow Audit, fill out a contact form, or email us, we collect what you provide: your name, work email, company name, role, and the operational context you share so we can prepare for the call.

Scheduling information.Our audit calls are booked through Cal.com. When you schedule a meeting, Cal.com collects the data needed to confirm and run the call (name, email, time zone, any notes you add). Cal.com's own privacy policy governs that data; we receive a copy.

Website usage data. The site is hosted on Vercel. Vercel logs basic technical information (IP address, browser type, pages viewed, referrer) to keep the site running and measure aggregate traffic. We do not use third-party advertising trackers and we do not run a marketing pixel on this site.

Cookies. We use a small set of cookies for essential site functionality and anonymized analytics. We do not use cookies to build advertising profiles or share data with ad networks.

How we use it

• To respond to your inquiry and prepare for your audit
• To send the written opportunity map and any follow-up materials you ask for
• To improve the site (which pages help, which confuse, what loads slowly)
• To comply with legal obligations when they apply

What we don't do

• We do not sell your information to anyone, ever
• We do not share your information with advertisers or data brokers
• We do not use customer business data to train AI models without explicit written consent
• We do not contact people you work with based on your inquiry without your permission

Customer engagement data

When you become a customer, we touch operational documents your team works with daily: standard operating procedures, credentialing packets, onboarding paperwork, client requirements, and similar. Our handling of that data is governed by the engagement agreement we sign with you. Two principles always apply: your data stays your data, and we do not use it for any purpose outside the scope of the work you hired us to do.

Who we share information with

We use a small number of service providers to run the website and our business. The current short list:

• Vercel hosts the website and provides basic analytics
• Cal.com runs the meeting scheduler
• Google Workspace handles our work email
• Anthropic, OpenAI, and Google (model providers) may process data during specific customer engagements, governed by the engagement agreement and their respective privacy terms

We only share what those providers need to do their job. None of them are authorized to use your information for their own marketing.

Your rights

You can ask us to show you what information we have about you, correct anything that's wrong, or delete it (subject to any legal obligations to retain certain records). Email Jake@hawkify.aiand we'll respond within a reasonable time frame.

If you're in a jurisdiction with specific data rights (GDPR in the EU, CCPA in California, PIPEDA in Canada, and similar), those rights apply to you and we'll honor them on request.

Data retention

We keep inquiry and audit-call information for as long as we're in active conversation with you, plus a reasonable period after to maintain context if you re-engage. We delete it on request unless legal obligations require otherwise.

Security

We use reasonable technical and organizational measures to protect the information we hold. Email is not a perfectly secure medium, so for anything sensitive, we'll move to a more appropriate channel.

Children

Hawkify's services are for businesses. The website is not directed to anyone under 16, and we do not knowingly collect personal information from children.

Changes to this policy

We may update this policy as the business grows or laws change. When we make a meaningful change, we'll update the “last updated” date at the top. Material changes that affect customer engagements will be communicated directly.
